Frequently Asked Questions

Answer

The University Policies Library is a comprehensive collection of all policies that apply to all areas of the University of La Verne operations. It will be a central location for campus constituents to find the official and most up-to-date versions of university policies.

Answer

Currently, university policies are housed in separate units and departments across campus. This has resulted in campus constituents having difficulty efficiently locating specific policies. Bringing all policies into a central location will increase campus constituents’ ability to find the policy provisions they are interested in and will aid departments in reviewing policy needs.

Answer

The University Policy Library will be located at Laverne.edu/policies. Questions and policy submissions may be sent to universitypolicies@laverne.edu.

Answer

We anticipate the full University Policies Library will be published in early April, 2024. Initially, some policies housed in the Library will be in pdf format and some will consist of links to other ULV webpages. Eventually, all policies will have a consistent pdf format.

Answer

A policy is an enforceable statement of university rules or standards. It may be enforceable against the university, a member of the campus community, or a campus visitor. Policies may also include procedures that are required by policy.

Processes are the discretionary internal practices by which the university meets its obligations under policy. Supervisors may require employees to follow certain processes and they may provide helpful information for campus constituents, but, unlike policy, processes are not enforceable by constituents outside of the department.

Answer

All University policies will be accessible from the University Policy Library. Processes, guidance, and other college- department-level information may still be maintained on individual department webpages.

Answer

The Institutional Compliance Officer and the Policy Steering Committee Co-Chairs (once seated) will be responsible for maintaining the University Policy Library.

Answer

The University Policy Steering Committee will be tasked with shepherding policies from proposal to publication. The Committee does not advise on policy content or provide substantive review of policies.

Answer

The University Policy Steering Committee will have broad representation from staff, faculty, and students. One faculty member and one staff member will serve as Co-Chairs.

Answer

Constituent groups will each determine their own procedures for nominating and selecting Committee members.

Answer

The Steering Committee will not draft or substantively review policies. Once a policy template and writing guide is established, the Steering Committee will conduct editorial review of policies to ensure that they conform to these guidelines. Some individual members of the Steering Committee may be responsible for drafting and substantively reviewing policies due to their roles beyond the Steering Committee.

Answer

The details of the policy review process are still being determined. Generally, there will be several cycles per year and each cycle will progress from initial policy proposal to final publication.

Answer

During each policy cycle, university stakeholders will have the opportunity to review proposed policies and provide feedback to the policy owners.

Answer

Any member of the campus community may request that a policy be updated, created, or eliminated. The Policy Steering Committee can facilitate connecting an individual making a policy request with the appropriate policy owners and stewards.

Answer

Once the policy process is finalized, the Steering Committee will publish a request form that will be available on the University Policy website.

Answer

Policy owners and stewards are responsible for drafting new policies and updating existing policies. Generally, policy owners are senior leaders with final responsibility for the operational areas covered by policies and policy stewards are the subject matter experts that administer the policies on a routine basis.
